2. No Government Affiliation

AFS DOT is a private business and is not affiliated with, endorsed by, or operated by the Federal Motor Carrier Safety Administration (FMCSA), U.S. Department of Transportation (USDOT), Internal Revenue Service (IRS), or any federal, state, or local government agency.

Many registrations, filings, and applications may also be completed directly through the applicable government agency.

Fees paid to AFS DOT are for our assistance, processing, support, administrative services, or third-party services and may be separate from government filing fees.

3. Eligibility to Use Our Services

By using our services, you represent that:

  • You are at least 18 years old.
  • You have the authority to act on behalf of the business for which services are requested.
  • The information you provide is accurate, complete, and current.
  • You will not use our website or services for unlawful, fraudulent, or misleading purposes.

We may refuse or discontinue service where we reasonably believe information is inaccurate, fraudulent, incomplete, or unlawful.

4. Customer Information and Responsibilities

You are responsible for providing accurate and complete information required to perform the requested service.

  • USDOT Number
  • MC or FF Number
  • Vehicle information

  • Ownership information

AFS DOT is not responsible for delays, rejections, penalties, or other issues caused by incorrect, incomplete, outdated, or late information provided by the customer.

You must promptly notify us of any changes that may affect a pending filing or service.

5. Service Processing Times

Any estimated processing times shown on our website or provided by our team are estimates only.

Processing times may be affected by:

  • Government agency processing
  • State filing offices
  • FMCSA review
  • IRS processing
  • Insurance companies
  • Process agents
  • Third-party providers
  • Incomplete customer information
  • Government holidays
  • System outages
  • Additional verification requirements

AFS DOT does not guarantee that a filing, authority, registration, permit, or approval will be completed by a specific date unless expressly stated in writing.

6. Government Approval Is Not Guaranteed

Submitting an application or filing through AFS DOT does not guarantee approval by any government agency.

Final decisions regarding registrations, authorities, permits, tax filings, licenses, and other government matters are made by the applicable agency.

AFS DOT cannot guarantee:

  • Approval of MC Authority
  • Approval of Broker Authority
  • Issuance of permits
  • Acceptance of state filings
  • Insurance eligibility
  • Audit outcomes
  • Tax determinations
  • Government processing times

7. Fees and Payment

You agree to pay all fees displayed or communicated to you before purchasing a service.

Fees may include:

  • AFS DOT service fees
  • Government filing fees
  • State filing fees
  • Third-party processing fees
  • Registered Agent fees
  • Insurance-related charges
  • Permit fees
  • Other applicable costs

Government or third-party fees may change without notice.

Unless specifically stated otherwise, AFS DOT service fees are separate from government filing fees.

8. Refund Policy

Refund eligibility depends on the status of the requested service.

Once work has started, a filing has been submitted, a third-party service has been ordered, or a government fee has been paid, some or all charges may become non-refundable.

Any approved refund will generally be returned using the original payment method.

Government filing fees, third-party charges, and completed service fees may be non-refundable.

9. Registered Agent Services

Where Registered Agent services are purchased, the service is generally provided on an annual basis.

Customers are responsible for maintaining active service and keeping their contact information current.

Failure to renew Registered Agent service may affect the customer’s ability to receive official correspondence or maintain state compliance.

Registered Agent availability may vary by state.

10. Compliance Services

AFS DOT may provide assistance with trucking compliance matters, including reminders, record organization, filings, and compliance guidance.

However, customers remain responsible for operating their businesses in accordance with applicable federal, state, and local laws and regulations.

The customer is ultimately responsible for:

  • Driver compliance
  • Vehicle compliance
  • Hours-of-Service compliance
  • Drug and alcohol testing requirements
  • Insurance requirements
  • Recordkeeping
  • Tax filings
  • Registrations
  • Renewals
  • Safety requirements
  • Maintaining required documentation

Our services are intended to support your compliance efforts and do not transfer legal responsibility from the carrier or business to AFS DOT.

11. Insurance, Factoring, Fuel Cards, ELDs, and Third-Party Services

Some services available through AFS DOT may be provided, fulfilled, quoted, or underwritten by independent third parties.

These may include:

  • Commercial trucking insurance
  • Freight factoring
  • Fuel cards
  • ELD providers
  • Load boards
  • Process agents
  • Dispatch-related tools
  • Permit providers
  • Financial or payroll services

AFS DOT may facilitate introductions or assist with applications, but the final terms, pricing, approval, eligibility, and service conditions may be determined by the third-party provider.

Your use of third-party services may also be subject to that provider’s separate terms and privacy policies.

12. Dispatch Services

Where dispatch services are provided, AFS DOT may assist with load sourcing, broker communication, administrative coordination, and related support.

We do not guarantee:

  • Specific loads
  • Specific freight rates
  • Specific revenue levels
  • Continuous load availability
  • Broker payment
  • Profitability
  • Specific routes

The carrier remains responsible for deciding which loads to accept and for operating safely and legally.

13. Freight Factoring

Freight factoring availability, approval, rates, advance percentages, recourse terms, and other conditions may be determined by a third-party factoring provider.

AFS DOT does not guarantee approval or specific factoring rates.

14. Commercial Trucking Insurance

Insurance coverage, eligibility, premiums, policy terms, deductibles, limits, and underwriting decisions are determined by the applicable insurance carrier, broker, or agency.

AFS DOT does not guarantee that insurance coverage will be available or that a particular premium or coverage level will be offered.

15. No Legal, Tax, or Accounting Advice

Information provided through our website or services is for general business and administrative support purposes.

Unless specifically agreed otherwise in writing, AFS DOT does not provide legal advice, tax advice, or professional accounting advice.

You should consult a qualified attorney, CPA, tax professional, insurance professional, or other licensed advisor when appropriate.

You agree to indemnify and hold harmless Arctic Fox Solutions Inc., AFS DOT, its officers, employees, contractors, and service providers from claims, damages, losses, liabilities, or expenses arising from:

  • Your violation of these Terms
  • Incorrect or fraudulent information you provide
  • Your violation of applicable laws
  • Your misuse of our services
  • Actions taken on behalf of your business without proper authorization

23. Suspension or Termination

We may suspend, refuse, or terminate services if:

  • Payment is not received
  • Required information is not provided
  • Fraud or misuse is suspected
  • The customer violates these Terms
  • Continuing the service would violate applicable law
  • A third-party provider refuses or discontinues service

Termination does not eliminate outstanding payment obligations.

Changes will become effective when the revised Terms are posted on our website unless otherwise required by law.

Continued use of our website or services after changes are posted constitutes acceptance of the revised Terms.

25. Governing Law
